Administrative Assistant / Elder Law and Estate Planning – Hermon, ME

AIM (Aging in Maine) is a small but rapidly growing Elder Law and Estate Planning firm located in Hermon, Maine. We serve Maine families during some of the most important and emotionally challenging times of their lives—planning for the future, navigating long-term care, and settling estates after the loss of a loved one.

Position Overview:

We are seeking an experienced, organized, and compassionate Administrative Assistant to join our growing legal team. This position supports attorneys working in Elder Law, Estate Planning, and Probate matters. The ideal candidate understands that behind every file is a person or family who may be feeling overwhelmed, uncertain, or grieving, and approaches their work with professionalism, empathy, and attention to detail.

This role is a key point of contact for our clients and plays an important part in creating a supportive and reassuring experience from the first phone call through the conclusion of a matter.

Qualifications:

  • A high level of professionalism and compassion when communicating with clients, attorneys, courts, and coworkers.
  • Strong teamwork skills with the ability to work independently and take initiative.
  • Strong written and verbal communication skills.
  • Ability to pay close attention to detail to ensure the highest quality work product for the client.
  • Strong multitasking skills and the ability to organize and prioritize numerous tasks under time constraints.
  • Proficiency with Microsoft Office Suite; familiarity with Clio (training provided).
  • Minimum of two (2) years of prior office administration experience preferred.

Responsibilities:

  • Serve as a professional and compassionate point of contact for clients while maintaining strict confidentiality.
  • Proofread, draft, and edit legal documents and correspondence for accuracy, clarity and proper formatting.
  • Organize, maintain and manage firm files and client files.
  • Communicate with courts, file case documents and track deadlines and critical dates.
  • Assist with general office operations and other tasks as needed to support the legal team and client needs.
  • Hours are Monday – Friday, 8:30 AM – 5:00 PM.
