Overview
The Assistant Manager at Charlotte’s Coffee House supports daily operations, ensures exceptional customer service, and assists the Manager in maintaining a positive and efficient work environment. This role involves acting as a floater, providing on-the-floor coverage, serving as Acting Manager two days a week, and stepping into various roles to support the team across all locations as needed.
Key Responsibilities
Management Duties
- On-the-Floor Coverage: Provide consistent floor coverage from 8:30 AM to 3:00 PM on scheduled management days, acting as a floater unless covering an open shift at the assigned location.
- Acting Manager: Serve as Acting Manager two days a week to provide the Manager with time off, taking full responsibility for operations during those shifts.
- Availability: Maintain availability between 6:00 AM and 7:00 PM, with flexibility to cover shifts as needed, except on designated days off.
- Weekend Support: Manage at least one weekend day (Friday, Saturday or Sunday) to support the Manager.
- Shift Coverage: Fill any open shifts, either by working them personally or coordinating with other staff to ensure coverage.
- Manager Substitution: Cover the Manager’s shifts if they are unable to work, until they can return.
- Management Pool: Participate in a pool of Managers and Assistant Managers across all locations to provide coverage when management support is needed at other sites.
- Meetings: Attend all management meetings as requested and participate in the weekly location management meeting with Tim.
- Block Schedules: Assistant managers are not allowed to pick up block schedules at other locations besides their home location.
Operational Support
- Order Management: Check in and put away orders upon arrival, ensuring accurate inventory and proper storage.
- Versatility: Assist in any area as needed, including washing dishes, collecting dish bins, helping with cooking, or performing barista duties.
- Training Support: Assist the Training Manager with staff training when requested, ensuring team members are well-prepared for their roles.
- Cross-Training: Train and maintain proficiency in all positions within the coffee house to support operational needs.
Communication
- Open Communication: Maintain clear and proactive communication with the Manager, informing them of any issues, incidents, or scheduling conflicts promptly to ensure they are not blindsided during their shifts.
- Issue Escalation: Contact the management pool for any issues requiring further guidance or resolution.
- Shift Coordination: Collaborate with the Manager to address open shifts and ensure seamless operations.
- Reachability: While not required to be available on two designated days off per week, it is appreciated if the Assistant Manager remains reachable for questions.
Qualifications
- Strong leadership and teamwork skills, with a willingness to step into any role to support the team.
- Excellent communication skills to foster collaboration and transparency.
- Flexibility to work varied hours, including early mornings, evenings, and weekends, except on designated days off.
- Ability to multitask and remain calm under pressure in a fast-paced environment.
- Experience in a coffee shop, restaurant, or customer service setting is preferred but not required.

Work Schedule
- Management Days: 8:30 AM – 3:00 PM for on-the-floor coverage, with one day being a Friday or Saturday.
- Acting Manager: Two days per week as Acting Manager to cover the Manager’s days off.
- Availability: Flexible availability between 6:00 AM and 7:00 PM, with the ability to cover additional shifts as needed, including at other locations as part of the management pool, except on two designated days off per week where availability is not required but reachability for questions is appreciated.
- Shift Coverage: Fill or coordinate coverage for any open shifts and cover for the Manager when necessary.
- Meetings: Attend all requested management meetings and the weekly location management meeting with Tim.
